AFD Financial Automation — Privacy Policy

Effective Date: October 15, 2026

1. Introduction

AFD Solutions ("AFD," "we," "us," or "our") respects the privacy and confidentiality of its clients' financial information.

This Privacy Policy describes how AFD Financial Automation ("Software") accesses, uses, processes, stores, and protects information obtained through QuickBooks Online and other authorized sources.

The Software is initially operated by AFD Solutions on behalf of its clients. In the future, certain clients may be authorized to operate the Software independently.

2. Information We Access

With appropriate authorization, the Software may access the following information from QuickBooks Online:

  • Business and company information.
  • Bank and credit card account information, including balances.
  • Customer information and accounts receivable.
  • Vendor information and accounts payable.
  • Invoices, bills, payment records, and due dates.
  • Other accounting information necessary for authorized financial reporting and analysis.

The Software accesses only information reasonably necessary to provide its services.

3. How We Use Information

AFD uses authorized accounting information to:

  • Prepare cash flow schedules and forecasts.
  • Analyze accounts receivable and accounts payable.
  • Generate financial reports and Excel workbooks.
  • Support financial management and operational decision-making.
  • Provide agreed financial consulting and reporting services.
  • Maintain and improve the functionality and reliability of the Software.

Client financial information is not used for unrelated advertising or marketing purposes.

4. QuickBooks Online Integration

AFD Financial Automation connects to QuickBooks Online using Intuit's authorized APIs.

Access requires authorization from the QuickBooks company or an appropriately authorized representative.

The Software uses authorization credentials to access permitted accounting information.

Users may disconnect the application or revoke access through their QuickBooks or Intuit account settings.

AFD Financial Automation is independently developed and is not endorsed by or affiliated with Intuit.

5. Data Processing and Storage

The initial version of the Software is designed to retrieve financial information from QuickBooks Online, process that information locally, and generate Excel-based reports.

Reports may be stored on AFD's business computers or authorized cloud storage services used in providing client services.

The initial version is not intended to maintain a centralized database of client accounting transactions.

However, limited technical information, including authorization credentials and operational configuration, may need to be stored securely to maintain authorized connections.

If future versions introduce hosted processing, client accounts, or additional data storage, this Privacy Policy will be updated to describe those practices.

6. Information Sharing

AFD does not sell client financial information.

Information may be shared only as reasonably necessary to provide authorized services, including with:

  • Authorized AFD personnel.
  • Technology providers supporting secure storage, processing, or software operations.
  • Accounting and financial platforms authorized by the client.
  • Government authorities or other parties when legally required.

AFD requires appropriate confidentiality and security protections when engaging service providers that handle client information.

7. Data Security

AFD takes reasonable measures to protect financial information against unauthorized access, disclosure, alteration, or loss.

These measures may include access controls, secure authentication, encrypted communications, and restricted access to financial records.

No electronic system can guarantee absolute security.

AFD periodically reviews its security practices and updates them as appropriate.

8. Data Retention and Deletion

AFD retains client financial information and generated reports for as long as reasonably necessary to provide agreed services, comply with applicable legal obligations, and maintain appropriate business records.

When information is no longer required, AFD will delete or securely dispose of it in accordance with applicable requirements and contractual obligations.

Clients may contact AFD to request information about retention or deletion of their financial information.

Revoking QuickBooks authorization prevents future authorized API access but does not automatically delete previously generated reports or records.

9. Client Rights and Choices

Clients may:

  • Request information about how their financial data is used.
  • Request correction or deletion of information, subject to applicable obligations.
  • Revoke QuickBooks Online authorization.
  • Contact AFD regarding privacy or confidentiality concerns.

Requests will be handled in accordance with applicable law and contractual obligations.

10. Third-Party Services

The Software relies on third-party services, including QuickBooks Online, which operate under their own privacy policies and terms.

AFD is not responsible for the independent privacy practices of those providers.

11. Changes to This Privacy Policy

AFD may update this Privacy Policy to reflect changes in software functionality, security practices, legal requirements, or business operations.

Updates will be published on this page with a revised effective date.
